Booking Safety Disclaimer for BallyBurren Outdoor Escapes:

Welcome to BallyBurren Outdoor Escapes! We prioritise your safety and want to ensure that you have a memorable and secure experience during your visit. Before making a booking, please take a moment to read and understand the following safety disclaimer:

  1. Assumption of Risk: By participating in any of our activities, including alpaca trekking, kids forest school, glamping, luxury picnic days, yoga, and parent and baby days, you acknowledge and accept that there are inherent risks involved. Our 1.4km alpaca trekking pathway passes through farmland, woodland, and around ponds, which may expose you to various hazards such as uneven terrain, slippery surfaces, unpredictable alpaca behaviour, wildlife encounters, and natural elements. You voluntarily assume all such risks associated with your participation.
  2. Personal Responsibility: It is your responsibility to ensure that you are physically capable of participating in the activities you book. If you have any pre-existing medical conditions, injuries, allergies, or other limitations that may affect your safety or the safety of others, you must inform us prior to booking. We reserve the right to deny participation to anyone we believe may be at risk.
  3. Follow Instructions: During each activity, you must follow all instructions provided by our trained staff and guides. This includes but is not limited to adhering to safety guidelines, staying within designated areas, using appropriate equipment, and following any age or weight restrictions that may apply. Failure to comply with instructions may result in termination of your participation without refund.
  4. Suitable Attire and Equipment: For each activity, we recommend wearing appropriate clothing and footwear suitable for outdoor adventures. This may include comfortable walking shoes, long pants, and weather-appropriate layers. Specific activities may have additional requirements, such as yoga mats or specialised equipment. It is your responsibility to come prepared for each activity. We will provide any necessary equipment related to the specific activity, such as alpaca lead ropes or luxury picnic hampers.
  5. Waiver of Liability: To participate in any of our activities, you will be required to agree to this disclaimer before a booking for an activity is paid for. This waiver releases our business, its owners, employees, and affiliated parties from any claims, demands, or causes of action arising out of or related to personal injury, property damage, or any other loss sustained during the activity.
  6. Children and Minors: Children under the age of 18 must be accompanied by a parent or legal guardian and closely supervised throughout their participation in any activity. The adult accompanying the child or minor is solely responsible for their safety and behaviour.
  7. Weather Conditions: Our activities are subject to weather conditions. In the event of adverse weather, such as heavy rain, thunderstorms, or strong winds, we reserve the right to cancel or reschedule the activity for safety reasons. We will make every effort to notify you in advance and offer an alternative date or refund.

By making a booking with us, you confirm that you have read, understood, and agree to abide by this safety disclaimer. We prioritise your safety and strive to provide secure and enjoyable experiences at our outdoor adventure centre. Refund Policy

  1. No refunds will be issued within 48hrs of an experience or activity.
  2. All balances must be paid before the start of an experience or activity. Failure to do so will mean no admittance. We do not take payments on site. All payments must be made online via your booking portal.
  3. Late corporate booking payments will incur an admin fee of £50 per week after 30 days.
  4. No refunds will be issued for late arrival or arriving at the wrong start time or date.
  5. We advise all bookings obtain our “Enhanced Refund” terms before payment for an experience or activity.

Terms & Conditions

We look forward to welcoming you to Ballyburren Luxury Lodges. Please read the following terms and conditions carefully before making a booking. By proceeding with a reservation, you confirm that you have read, understood, and agreed to these terms.

Making a Booking

We strongly recommend that guests take out comprehensive holiday or travel insurance prior to booking.

To secure your lodge, full payment is required 30 days before arrival. A deposit can be made if more than 30 days before arrival. All bookings must be made through our online booking system and are considered provisional until you receive written confirmation by email from Ballyburren Outdoor Escapes.

Bookings are valid for the maximum occupancy stated at the time of booking. Our luxury lodges are designed primarily for adult stays. No additional overnight guests are permitted.

Arrival & Departure

  • Check-in: From 3:00pm with the early check-in extra or 4:00pm otherwise on the day of arrival
  • Check-out: By 11:00am on the day of departure

Late departures may incur an additional charge.

If you expect to arrive later than advised in your pre-arrival information, please notify us in advance so appropriate arrangements can be made. Failure to arrive on the day of check-in without notice will be treated as a no-show.

Cancellation & Date Change Policy

All bookings are subject to the following cancellation terms:

  • Free cancellation is available up to 30 days prior to arrival.
  • Cancellations made within 30 days of arrival are non-refundable.
  • No refunds will be issued for early departures, no-shows, or unused nights.

 

Date Changes

  • Date changes may be requested no later than 30 days prior to arrival, subject to availability and management approval.
  • Requests made within 30 days of arrival cannot be accommodated.
  • Date changes are not guaranteed and may incur an administration fee.

We strongly recommend travel insurance to protect against unforeseen changes to your plans. Failure to insure does not constitute grounds for a refund.

Hot Tub & Amenity Use

Hot tubs are provided as a luxury feature and must be used in accordance with the guidance provided in your lodge information pack.

Please note:

  • Hot tubs require time to heat and can be affected by weather conditions. This is normal and does not constitute a fault.
  • Incorrect use, repeated draining/refilling, leaving covers off, or failure to follow instructions may prevent the tub from reaching optimal temperature.
  • No refunds (partial or full) will be issued for hot tubs that do not reach temperature due to guest misuse, weather conditions, or failure to follow guidance.

Hot tubs are used at guests’ own risk. Ballyburren Outdoor Escapes accepts no liability for injury resulting from misuse.

Guest Behaviour & Respect for the Site

Ballyburren is designed to offer a peaceful, nature-based experience.

  • Quiet hours operate from 10pm onwards.
  • Antisocial behaviour, excessive noise, or disruptive conduct will not be tolerated.
  • Any behaviour deemed unsafe, aggressive, or inappropriate may result in guests being asked to leave the site immediately without refund.

We operate a zero-tolerance policy toward abusive, threatening, or aggressive behaviour towards staff or other guests.

Cleaning, Damage & Loss

Lodges are professionally cleaned before each stay.

Guests are expected to:

  • Leave the lodge, hot tub, and outdoor areas in a reasonable condition
  • Use furnishings and amenities responsibly

We reserve the right to charge for:

  • Damage caused during the stay
  • Missing items
  • Excessive cleaning required due to misuse

Ballyburren Outdoor Escapes is not responsible for loss or damage to personal property.

Weather & Unforeseen Circumstances

We do not offer refunds or date changes for:

  • Poor weather
  • Travel disruption
  • Road conditions
  • Personal circumstances

In the unlikely event that we must cancel your stay for safety reasons (e.g. severe weather), we will offer either:

  • An alternative date (subject to availability), or
  • A full refund

Our liability is strictly limited to the value of your booking.

Smoking, Candles & Fire Safety

  • Smoking and vaping are strictly prohibited inside lodges
  • Candles, tea lights, fireworks, sparklers, and Chinese lanterns are not permitted
  • Fire safety instructions must be followed at all times

Failure to comply may result in additional cleaning or damage charges.

CCTV & Site Security

CCTV is in operation in designated external areas for security purposes. Footage may be shared with relevant authorities in the event of serious incidents or breaches of these terms.
